Before the First Smile: What Goes Into Setting Up a SelfieBox at Your Event

Guests see the smiles, the poses and the photographs. Behind those moments is a journey that starts at our office and ends after the last guest has gone home.

From preparing the equipment to packing it away again, here is what goes into bringing a SelfieBox to your event.

We want to give our clients our best. That means approaching every part of the experience with care, including the details guests may never notice. For us, working in excellence is also a way of honouring God through the work He has given us.

1. Getting ready at the office

It starts with the booking: which booth is needed, what the venue is like and what experience we are creating. The booth, printer, lighting, backdrop, props and cables all need attention before we leave.

We prepare the details guests will see too, from the names and date on a print layout to the branding for a corporate event. This is where the separate parts of the experience begin coming together.

2. Bringing the branding to life

For a branded booking, the booth and display become part of the event’s look. Vinyl needs to be positioned and applied carefully so that the finished result looks neat, whether it is on a booth or a display panel.

3. Packing the vehicle

Once everything is ready, it is time to load. There is more to carry than the booth itself: protective cases, stands, printing equipment and the smaller essentials all need their place. A packed vehicle is the first glimpse of how much goes into one setup.

4. Setting up at the venue

At the venue, the equipment makes another journey from the vehicle to its position. Then the booth, lighting, backdrop and any additional displays are assembled and connected.

Different experiences need different arrangements. A HaloBox, a 360 platform and a Mosaic installation each have their own layout. The aim is a space where the equipment can work properly and guests can join in comfortably.

5. Testing and fine-tuning

Before guests join in, a test photograph helps check the framing and lighting. For bookings with prints, a test print helps check the design on paper too. With experiences such as SketchBots, we check how the portrait comes through in the finished drawing.

These checks give us time to make adjustments before the event gets going, so that our clients and their guests can enjoy the experience with confidence.

Excellence lives in those small details: straight branding, a tidy setup, the correct print layout and taking time to make an adjustment. Each one matters because our clients have trusted us with their event.

6. Ready for the first smile

With the checks complete, all those separate pieces become a finished setup, ready to welcome the first guests.

7. The booths in action

Then it is over to the guests! Our attendants welcome people, explain the experience and help everyone feel comfortable taking part. The equipment we packed and carried becomes a place for friends, colleagues and families to make memories.

8. A memory to take home

The finished photograph is what all that preparation has been working towards. A personalised print gives guests something to hold, share and keep long after the event. Depending on the experience, the result could also be a digital image, a 360 video or a drawn portrait.

9. Packing up after the last smile

When the event ends, our work continues. The equipment needs to be switched off, dismantled, packed into its cases and loaded for the journey back. Then it is time to get everything ready for the next occasion.
